Privacy Policy
This policy explains how the School of Physics, Universiti Sains Malaysia (“we”, “us”) handles personal data collected through quantum.usmphysics.org, the registration website for the Quantum Horizons symposium (22 December 2026).
1. What we collect
- Details you enter: full name, email address, phone number (optional), institution or organisation, category (student, academic, industry, other) and country.
- If you choose “Continue with Google”: your Google account name and email address, and whether Google has verified that address. We receive nothing else from your Google account (no contacts, files, calendar or password), and we do not access your account after you sign in.
- Technical data: a one-way hashed form of your IP address (to limit abuse and duplicate registrations) and a short-lived security cookie that keeps your registration session working. We do not use advertising or tracking cookies.
2. Why we use it
- to register you for the symposium and confirm your seat;
- to verify your email address (by emailed code or Google sign-in) and prevent duplicate or automated registrations;
- to contact you about the programme, venue and any changes;
- to prepare attendance records and certificates of participation.
3. Sharing
We do not sell your data. It is accessible only to the symposium organisers. Our hosting provider and email provider (Zoho Mail) process data on our behalf solely to run the website and send you emails about your registration. We may share the participant list with the co-organising institutions of the symposium for event administration only.
4. Google user data
Our use of information received from Google APIs is limited to signing you in and pre-filling your name and email address on the registration form. We do not use it for advertising, we do not transfer it to others except as described above, and we do not use it to train AI models.
5. Retention and your rights
Registration records are kept for as long as needed to run the event, issue certificates and handle follow-up queries, and are then deleted or anonymised. You may ask to access, correct or delete your personal data at any time, in line with the Malaysian Personal Data Protection Act 2010 (PDPA), by emailing events@usmphysics.org. If you registered with Google, you can also revoke this site’s access in your Google Account settings under “Security → Third-party access”.
6. Security
Data is transmitted over HTTPS and stored on access-controlled servers; administrator access is password-protected. No system is completely secure, but we take reasonable steps to protect your information.
